Administrators
Administrators are people who sign in to AppStudio to build and configure applets, apps, and plugins. This page covers how to add administrators, assign roles, and manage administrator groups.
TIP
Administrators are not the same as applet users. Administrators work in AppStudio. Applet users are end users of a published app — manage them via Applet Users.
When to use this
- You want to give a colleague access to AppStudio
- You need to move an administrator between roles — for example from Applet administrator to Subscription administrator
- You want to group several administrators together to simplify permission management
- You need to revoke access for someone who should no longer work in AppStudio
Find the administrator settings
Administrators are managed at the subscription level:
- Click your subscription in the side menu.
- Go to Settings (gear icon).
- Select Permissions.
You'll see two areas — Administrators (individuals) and Administrator groups (collections of administrators that share permissions).
Administrator roles
Each administrator has a role that controls what they can do:

| Normal | Standard administrator without special system rights. Can be granted permissions on individual applets or via groups. |
| Applet administrator | Can create, edit, and publish applets in the subscription. |
| Subscription administrator | Full access to the subscription — user management, billing, integrations, and all applets. |
WARNING
Only a Subscription administrator can change roles for others. Be careful about who gets the highest level.
Add an administrator
- Open Settings → Permissions → Administrators.
- Click Add administrator.
- Search user — look up the user's Colix ID (email address). It must already exist.
- Enter administrator information (name auto-fills if it's already on file).
- Set the Role (Normal / Applet administrator / Subscription administrator).
- Turn on Send invitation now if the person should get an email immediately — otherwise you can send the invitation later.
- Save.
Invitation
After adding an administrator, they need to accept the invitation before the account is active.

| No invitation sent | The administrator is created but hasn't received the invitation yet. Click Send invitation. |
| Waiting for acceptance | The invitation is sent but not answered. You can click Resend invitation. |
| Invitation accepted | The person has accepted and can sign in. |
| Invitation declined | The person has declined. The invitation can be resent. |
Administrator properties
| Setting | Description |
|---|---|
| Name | Display name. Editable for administrators who don't yet have a linked user account. |
| Colix ID | The user's unique ID (email address). Read-only — this is how the user signs in. |
| Email address | Email used for notifications and communication. |
| Last login | Most recent sign-in time. Read-only. |
| Added | Date the administrator was added. Read-only. |
| Role | See Administrator roles. |
| Status | Active or inactive. Inactive blocks access without deleting the account. |
Sub-settings
From an administrator's detail view you can reach:
- Administrator groups — which groups the administrator belongs to.
- Permissions — direct permissions granted on top of group memberships.
Administrator groups
Use groups to manage permissions for several administrators at once — for example "Sales team admins" or "External consultants".
Create a group
- Go to Settings → Permissions → Administrator groups.
- Click Create group.
- Enter a name.
- Save.
Once the group is created, you can:
- Add Members (administrators in the group).
- Set Permissions that apply to every member.
Administrator group properties

| Name | The group's name. |
| Status | Active or inactive. Inactive pauses the group's permissions without deleting the group. |
| Created | Date the group was created. Read-only. |
Deactivate an administrator
To temporarily block access without deleting the account:
- Open the administrator's detail view.
- Turn off the Status toggle.
- Save.
The person cannot sign in until the status is turned back on.
Example
Scenario: You bring in a consultant who should build applets but not manage billing or other administrators.
- Open Settings → Permissions → Administrators.
- Click Add administrator and look up the consultant's Colix ID.
- Set Role to Applet administrator.
- Turn on Send invitation now.
- Save.
When the project ends, go back and turn off the Status toggle. The consultant's access stops immediately but the account is preserved if they return later.
Tips
TIP
Use Administrator groups for teams that work on similar applets. You can adjust permissions in one place instead of updating each administrator individually.
TIP
Set Status to inactive instead of deleting accounts — it preserves the history of who did what and makes it easier to reactivate later.
Common mistakes
WARNING
The person must already have a Colix ID to be added as an administrator. If they don't, they need to create one themselves first — you can't create a Colix ID on someone's behalf.
WARNING
Changing the Role doesn't affect the user's current session — the change takes effect the next time they sign in.
WARNING
Subscription administrator grants full access including billing. Only assign that role to people who should be able to do everything in the subscription.
